How businesses can save money with copilot

Can Microsoft Copilot actually save your business money?

By Anita Lund, CEO, Trainers Direct

Key Takeaways

  • Microsoft Copilot can help SMEs reduce time spent on content creation, proposals and administration.
  • The greatest value comes from working with information already stored in Microsoft 365.
  • AI works best when combined with business expertise and human review.
  • Start with one use case before expanding adoption across your organisation.

Can Microsoft Copilot actually save your SME money?

That’s probably the most common question I get asked when discussing AI with small business owners.

Most small business owners aren’t interested in technology for the sake of technology.

As the owner of a training business, I’m constantly balancing marketing, sales, proposals, administration, content creation and customer service. Like most business owners, I don’t care about AI because it’s interesting. I care about whether it saves me time and money.

After using Microsoft Copilot extensively and teaching SME’s how to use it effectively, I’ve discovered that the real value isn’t creating funny images or asking random questions.

The real value is using Copilot to complete the tasks that many businesses currently outsource.

In the past 12 months I’ve used Microsoft Copilot to assist with website content, training proposals, policy documents, marketing campaigns, blog articles and presentation development. Tasks that previously took hours can often be completed in a fraction of the time, allowing me to focus on clients and business growth.

Between proposal writing, content creation, policy drafting and marketing support, I’d estimate Copilot saves our business many hours each month and reduces our reliance on external contractors for certain tasks.

Let’s look at some practical examples.

copilot for small business

1. Writing Website Content Without Hiring a Copywriter

One of the most common bottlenecks for SMEs is website content.

Many businesses spend anywhere from hundreds to thousands of dollars having pages written by copywriters.

When rewriting pages for Trainers Direct, I use Copilot to create a first draft based on my target audience, course content and business objectives. It helps me overcome writer’s block and produce a solid starting point far more quickly than writing from scratch.

Try This Prompt (Example)

I run an “Enter your company name” specialising in “your product/service here“. Write a service page targeting small businesses that want to “pain point you’re trying to solve” Include FAQs and a strong call to action.

Is the result perfect?

Probably not.

But instead of starting with a blank screen, you’ll have a strong foundation that can be refined and personalised. One mistake I see people make is accepting the first draft from Copilot. The best results come when you refine the prompt, provide business context and rewrite sections to reflect your own expertise.

2. Creating SEO Blog Content Faster

Many business owners know they should be publishing blogs but struggle to find the time.

I don’t use Copilot simply to write blog posts. I use it to identify the questions my customers are asking, uncover content gaps and build content clusters around topics like Excel, Microsoft Copilot, Power BI and SharePoint.

One of the most useful things Copilot helps me do is identify the intent behind a search. Are people looking to learn something, compare options or purchase a service? Understanding this helps create content that is more likely to attract qualified visitors.

I also ask Copilot to suggest FAQs and related questions because these often align with the way people ask questions in AI tools such as ChatGPT, Copilot and Gemini.

For Trainers Direct, I’ve used Copilot to generate ideas for articles covering Excel, Copilot, Power BI, SharePoint and digital literacy.

Instead of staring at a blank page, I can quickly develop a month or more of content ideas and then focus my time on creating the articles that are most relevant to our clients and business goals.

I’ve found that the most successful blog posts are the ones that answer genuine customer questions rather than trying to target keywords alone.

Try This Prompt

I run a bookkeeping business targeting small businesses in Australia. Suggest 30 blog topics grouped by category. Include target keywords, search intent, common customer questions and related FAQ ideas.
This alone can provide months of content ideas and help identify the questions your customers are already asking, making it easier to create content that is both useful and discoverable.

3. Generating SEO Schema Markup

Most business owners have never heard of schema markup.

Yet many SEO consultants charge for implementing it.

I’ve used Copilot to create initial drafts of schema markup for Trainers Direct across our training pages. While schema doesn’t guarantee higher rankings, it does help search engines and AI systems better understand your business, services and content.

One thing I’ve learned is that Copilot can dramatically reduce the time required to generate schema code, but creating the markup is often the easy part. Validating it is where many people come unstuck. Even a small syntax error can prevent rich results from working correctly, so I always test my schema before publishing.

A common mistake is assuming Copilot-generated schema is ready to go straight onto a website. I recommend reviewing it carefully to ensure business details, URLs and page-specific information are accurate and relevant.

Copilot won’t replace SEO expertise, but it can significantly reduce the time required to create a solid first draft of structured data.

Try This Prompt

Generate JSON-LD Service Schema markup for my “XYZ your example webpage“. Include business details, service information and geo-targeting for Sydney, Australia. Also compare Rank Math, Yoast SEO and Schema Pro and recommend the most suitable WordPress plugin for implementation.

That single prompt could save hours of SEO research.

4. How does a Business Owner use Copilot to improve their Google Ads?

Google Ads can quickly become expensive if you’re outsourcing every aspect of campaign creation.

When planning Google Ads campaigns for Trainers Direct in the past, I’ve use Copilot to brainstorm keyword ideas, compare messaging options and identify potential negative keywords before investing money in clicks.

One thing I’ve learned is that generating ads is easy. Creating ads that attract the right audience is much harder.

A common mistake is assuming Copilot knows your ideal customer. The more information you provide about your audience, location and objectives, the better the campaign recommendations become.

I use Copilot to build the first draft of a campaign, but human judgement is still needed to choose the right keywords, offers and targeting.

Try This Prompt

Create a complete Google Ads Search Campaign for my business. We provide [service] to [target audience] in [location]. Our goal is to generate enquiries rather than website traffic. Include:

  • Recommended keywords
  • Suggested match types
  • Negative keywords
  • 15 responsive search ad headlines
  • 4 ad descriptions
  • Sitelink recommendations
  • Callout extensions
  • Landing page recommendations
  • Common mistakes to avoid
Even if you ultimately engage a marketing specialist, Copilot can help you understand the building blocks of a campaign and arrive at those conversations better prepared. I still recommend engaging a good Google Ads consultant for optimisation…

5. Creating PowerPoint Presentations in Minutes

This is one of my favourite Microsoft Copilot features.

Imagine writing six pages of content in Word and then asking Copilot to create a PowerPoint presentation from it.

I often use Copilot to turn training materials, proposals or blog content into presentation outlines. Instead of building every slide manually, I can generate a first draft and focus my attention on refining the content and visuals.

One thing I’ve learned however, is that Copilot does a great job creating structure and first drafts, but the best presentations still require human input, particularly when it comes to branding, storytelling and audience engagement.

Try This Prompt

Based on this Word document, create a professional 10-slide PowerPoint presentation for senior managers. Include slide titles, key talking points, speaker notes, suggested visuals and a logical presentation flow. Keep the tone professional and focus on the key business outcomes.

If you’ve ever spent a Sunday afternoon creating slides, you’ll appreciate how much time this can save.

6. Writing Policies and Procedures

Most SMEs need documentation,, in fact all businesses do.

Unfortunately, few business owners enjoy writing it.

I’ve used Copilot to create first drafts of policies, procedures and training documentation, giving me a solid starting point rather than staring at a blank page. Instead of spending hours structuring a document from scratch.

One thing I’ve learned is that Copilot is excellent at creating structure and identifying topics that should be included in a policy. However, every organisation is different, so policies should always be reviewed and customised to reflect your own business practices, legal requirements and workplace culture.

A common mistake is treating AI generated policies as a finished document. I use Copilot to create the first draft, but final approval should always involve the appropriate business stakeholders and, where necessary, professional legal or HR advice.

While Copilot won’t replace specialist advice, it can significantly reduce the time required to produce well-structured documentation and ensure you’re not starting from scratch.

Try This Prompt

Create a Work From Home Policy for a business with 15 employees. Include communication expectations, cybersecurity requirements, equipment responsibilities and health and safety considerations.

So, remember, you’ll still want professional review where required, but you’ve already completed most of the hard work.

7. Writing Job Descriptions

Recruitment can be both time-consuming and expensive, particularly for SMEs that don’t hire regularly.

I’ve used Copilot to help create first drafts of position descriptions, identify key responsibilities and generate interview questions. Instead of starting with a blank document, I can quickly create a structured draft and then tailor it to suit the role and organisation.

Copilot can assist with:

  • Position descriptions
  • Job advertisements
  • Interview questions
  • Onboarding plans
  • Role responsibilities and KPIs

Try This Prompt

Create a detailed position description for a Customer Service Coordinator. Include responsibilities, KPIs, required skills, desirable qualifications and interview questions.

One thing I’ve learned is that the quality of the output depends heavily on the information you provide. The more context you give Copilot about the organisation, team structure and desired outcomes, the more relevant the position description becomes.

A common mistake is accepting a generic job description without tailoring it to your business. I use Copilot to create the first draft, then customise it to reflect the organisation’s culture, goals and expectations.

Copilot won’t replace good hiring practices, but it can significantly reduce the time required to prepare recruitment documentation and ensure important elements aren’t overlooked.

8. Creating Social Media Content

Creating content consistently is one of the biggest challenges for small business owners. Most of us know we should be posting regularly on LinkedIn, Facebook or through email newsletters, but finding the time to plan and create content is another story.

I use Copilot to help generate ideas, improve drafts and repurpose content I’ve already created. For example, a blog post, newsletter or training course update can often be turned into multiple social media posts in a matter of minutes.

Copilot can assist with:

  • LinkedIn posts
  • Facebook content
  • Email newsletters
  • Content calendars
  • Promotional campaigns
  • Educational content

Try This Prompt

Create one month’s worth of LinkedIn content promoting [your services/products]. Include educational posts, engagement questions, industry insights and customer success stories. Group the posts by week and include suggested calls to action.

One thing I’ve learned is that the best performing content is rarely the most polished. It’s usually the content that answers real customer questions or shares genuine experiences.

A common mistake is publishing AI generated content without adding your own expertise, examples or personality. I use Copilot to create the first draft, but I always edit the content to reflect my own voice and experience.

Rather than constantly trying to think of new ideas, Copilot helps me create a pipeline of content that can be refined, scheduled and reused across different channels. That saves time and makes it much easier to maintain a consistent online presence.

9. Writing Professional Proposals

Preparing proposals can be one of the most time consuming parts of running a business. Whether you’re responding to a client enquiry, preparing a training proposal or submitting a quotation, there’s often a significant amount of information to gather and structure.

I regularly use Copilot to create the first draft of proposals, develop executive summaries and organise content into a logical structure. Rather than starting from scratch each time, I can focus on tailoring the proposal to the client’s requirements and refining the messaging.

Copilot can assist with:

  • Executive summaries
  • Scope documents
  • Training proposals
  • Project plans
  • Pricing options
  • Client recommendations

Try This Prompt

Create a proposal for [insert your service]. Include an executive summary, objectives, deliverables, expected outcomes, timeline and three pricing options. The proposal should be written in a professional and consultative tone.

One thing I’ve learned is that clients rarely buy based on features alone. The most effective proposals focus on outcomes, benefits and solving specific business problems.

A common mistake is using the same proposal for every customer. I use Copilot to create the initial structure, but I always customise the content to reflect the client’s objectives, industry and challenges.

Copilot won’t replace your expertise or understanding of a client’s needs, but it can significantly reduce the time required to prepare professional, well-structured proposals that would otherwise take hours to create.

10. Analysing Data in Excel

Many businesses collect large amounts of data but struggle to turn it into useful information. Reports are often created manually, trends are missed and valuable insights remain hidden in spreadsheets.

One of the ways I use Copilot is to help analyse data, identify patterns and suggest ways to present information more effectively. Rather than spending time searching for formulas or wondering where to start, I can use natural language prompts to explore data and uncover useful insights.

Copilot can assist with:

  • Identifying trends and patterns
  • Creating formulas
  • Suggesting charts and visualisations
  • Highlighting anomalies and risks
  • Summarising data findings
  • Recommending key performance indicators (KPIs)

Try This Prompt

Analyse this spreadsheet and identify trends, risks and opportunities to improve profitability. Suggest key metrics, formulas and charts I should implement.

One thing I’ve learned is that asking the right questions often matters more than the data itself. Copilot is particularly useful when you’re not sure where to begin or which insights might be hiding in the spreadsheet.

A common mistake is assuming Copilot understands the context behind your numbers. While it can identify patterns and trends, you still need business knowledge to determine whether those findings are meaningful or actionable.

As someone who has delivered Excel training for many years, I see Copilot as a powerful assistant rather than a replacement for Excel skills. It can help users work faster and uncover insights more easily, but understanding your data remains essential.

Copilot won’t replace good data analysis, but it can dramatically reduce the time required to explore information, build formulas and identify opportunities that may otherwise go unnoticed.

Why Pay for Microsoft Copilot When ChatGPT Is Free?

This is probably the question I get asked most often when discussing AI with business owners.

And it’s a fair question.

If all you need is:

  • Content ideas
  • General information
  • Brainstorming
  • Basic writing assistance

then a free AI tool may be enough for your needs.

However, that’s not where Microsoft Copilot delivers the greatest value.

The real advantage of Copilot is its integration with the Microsoft 365 tools many businesses already use every day.

These include:

  • Outlook
  • Teams
  • Word
  • Excel
  • PowerPoint
  • OneDrive
  • SharePoint

For example, instead of copying emails, documents and meeting notes into a chatbot, Copilot can help you work directly with the information already stored within your Microsoft 365 environment.

This is where I see many organisations begin to achieve meaningful productivity gains. Rather than creating content in isolation, they can work with the documents, emails and information they already have.

One thing I’ve learned is that the value of Copilot isn’t in asking random questions. The real value comes when it has access to the information you use every day and can help you find, summarise, analyse and create content based on that information.

A common mistake is comparing Copilot and ChatGPT as though they are identical products. While there is some overlap, businesses often use Copilot because of its integration with Microsoft 365 and its ability to support existing workplace processes.

For many organisations, the question isn’t whether Copilot is better than a free AI tool. The question is whether the time saved working with emails, meetings, documents and business information outweighs the cost of the licence.

In my experience, organisations that actively use Microsoft 365 often see the greatest benefit because Copilot becomes part of their everyday workflow rather than another standalone application.

How I Build a Library of Business Knowledge Using Copilot

Most people spend considerable time creating useful prompts and then assume those conversations disappear.

They don’t.

One of the advantages of Microsoft Copilot is the ability to revisit previous conversations and continue building on them.

Many users are surprised to learn they can also access previous Copilot interactions through Microsoft Teams. Just click the Copilot icon on the left rail.

Over time, you’re effectively creating a library of:

  • Marketing ideas
  • Proposal templates
  • Policies
  • Website content
  • Research
  • Business knowledge

Eventually Copilot becomes far more than a chatbot.

It becomes a business productivity platform.

New to AI? Here’s My Advice

If you’re completely new to AI, don’t try to learn everything at once.

The biggest mistake I see is somebody asking one question, receiving an average response and deciding AI isn’t worth using.

Like Excel, AI is a skill.

The more you practise, the better your results become.

Start With Something Real

Ask Copilot to help with something you’re already doing:

  • Writing an email
  • Creating a proposal
  • Improving a webpage
  • Drafting a policy

You’ll immediately see practical value.

Give Context

Poor prompt:

Write me a blog.

Better prompt:

I own a bookkeeping business in Sydney targeting businesses with fewer than 20 staff. Write a 1,200-word blog explaining common BAS reporting mistakes. Include FAQs and a call to action.

The more context you provide, the better the outcome.

Don’t Expect Perfection

The best results often come after several refinements.

For example:

  1. Write a webpage.
  2. Make it friendlier.
  3. Add FAQs.
  4. Optimise it for SEO.

That’s where the real value emerges.

Master One Use Case First

Don’t try to learn:

  • Marketing
  • SEO
  • Excel
  • Word
  • Teams
  • PowerPoint

all at once.

Pick one task that’s frustrating you right now and start there.

My Biggest Takeaway after Using Microsoft Copilot

As a small business owner myself, I don’t see Microsoft Copilot as replacing people.

I see it as giving small businesses capabilities that were previously only available to larger organisations.

Ten years ago, if you wanted:

  • Website content
  • Marketing campaigns
  • SEO assistance
  • Business proposals
  • Training materials
  • Professional presentations

you often needed to outsource everything.

Today, Microsoft Copilot can help you do much of that work yourself.

Will it replace specialists?

No.

Will it help you save time, reduce costs and produce better first drafts faster?

Absolutely.

And for many businesses, that could be worth thousands of dollars every year.
