Setup a Microsoft Teams Meeting with External Users (updated 2025)

Microsoft Teams is an excellent platform for collaboration, and you can even invite people to a Teams meeting who don’t have Microsoft Teams. Here’s how:

How external participants can attend meetings depends on a combination of your Teams admin configuration and their identity provider. Some external participants can be verified by Teams and others are considered anonymous.

To invite an external user into a Microsoft Teams Meeting as a guest, turn on the guest access option under Microsoft Teams admin center from Microsoft 365 admin center, to do this you need to be the admin and you will need to go online to Office.com and sign in. Once this is setup you will be able to add an external user’s email address into a Teams Meeting and those users will be identifiable in the Teams Meeting. If you are not admin, contact your Office admin of your organisation to enable the guest access option. Note: After you turn on guest access, it takes 2-24 hours for the changes to take effect. So, check after 2 to 24 hours.

Meetings with anonymous participants who are not set up as guests

Any participant attempting to join a Teams meeting who can’t be verified are considered anonymous. Anonymous meeting access is turned on by default which means that anyone can join. If a participant doesn’t have Teams installed, they will be prompted to join using the free Teams web app (or they can download the desktop app). Usually, guests will have to wait in the meeting lobby before being let in by the meeting organiser.
