XLOOKUP vs VLOOKUP: What’s the Difference and Which Should You Use in 2026?

For years, VLOOKUP has been the go-to function for finding data in Excel. It works, but it has limitations that can cause frustration. Microsoft introduced XLOOKUP to solve these issues and make lookups easier, faster, and more reliable.

What is XLOOKUP?

XLOOKUP is a modern Excel function available in Microsoft 365 and Excel 2021. It replaces VLOOKUP, HLOOKUP, and even INDEX/MATCH by offering more flexibility and fewer errors.

Basic Syntax:

=XLOOKUP(lookup_value, lookup_array, return_array, [if_not_found], [match_mode], [search_mode])

Why XLOOKUP is Better Than VLOOKUP

✅ 1. Search in Any Direction

  • VLOOKUP only works left-to-right.
  • XLOOKUP can look left, right, up, or down, no restrictions.

✅ 2. Exact Match by Default

  • VLOOKUP defaults to approximate match unless you add FALSE.
  • XLOOKUP defaults to exact match, reducing mistakes.

✅ 3. Custom Error Messages

  • VLOOKUP shows #N/A when data is missing.
  • XLOOKUP lets you display a friendly message like “Not Found”.

✅ 4. Return Multiple Columns

  • XLOOKUP can return multiple values in one formula.
  • Great for dashboards and reports.

✅ 5. No Broken Formulas

  • VLOOKUP breaks if you insert or delete columns.
  • XLOOKUP uses ranges, so your formulas stay intact.

Example

Imagine you need to find an employee’s department by ID:

VLOOKUP:

=VLOOKUP(102, A2:C10, 3, FALSE)

If you add a column, this breaks.

XLOOKUP:

=XLOOKUP(102, A2:A10, C2:C10, "Not Found")

No column index, no breakage, and a custom message.

XLOOKUP vs VLOOKUP: Key Differences

1. XLOOKUP Can Search in Any Direction

One of the biggest limitations of VLOOKUP is that it can only look to the right.

If your lookup value appears after the result column, VLOOKUP won’t work without restructuring your data.

XLOOKUP can search:

  • Left
  • Right
  • Up
  • Down

This makes your spreadsheets far more flexible.

2. XLOOKUP Uses Exact Match Automatically

Many Excel users make mistakes because they forget to use FALSE in VLOOKUP.

For example:

=VLOOKUP(A2,B:C,2,FALSE)

If FALSE is omitted, Excel may return unexpected results.

XLOOKUP defaults to exact matches, helping reduce errors.

3. XLOOKUP Handles Missing Data Better

If VLOOKUP cannot find a match, it returns: #NA

To avoid this, you often need to wrap the formula in IFERROR.

With XLOOKUP, you can build the error handling directly into the formula:

=XLOOKUP(A2,B:B,C:C,”Not Found”)

4. XLOOKUP Doesn’t Break When Columns Change

VLOOKUP relies on a column number.

=VLOOKUP(A2,B:E,4,FALSE)

If a new column is inserted, the formula may return incorrect results.

XLOOKUP directly references the lookup and return ranges, making it much more reliable when worksheets change.

5. XLOOKUP Can Return Multiple Results

XLOOKUP can return multiple columns using a single formula which can return several related values at once, making XLOOKUP ideal for reports and dashboards.

Should You Still Use VLOOKUP?

You may still need VLOOKUP when:

  • Working with older Excel versions
  • Sharing files with users who don’t have Microsoft 365
  • Maintaining legacy spreadsheets

However, for new spreadsheets, XLOOKUP is generally the recommended option.

Final Verdict: XLOOKUP vs VLOOKUP

When comparing XLOOKUP vs VLOOKUP, XLOOKUP is the clear winner for most Excel users.

Benefits of XLOOKUP

  • Easier formulas
  • Exact match by default
  • Searches in any direction
  • Custom “not found” messages
  • More resilient spreadsheets
  • Better for reporting and dashboards

If your organisation uses Microsoft 365, now is the perfect time to start replacing VLOOKUP with XLOOKUP.
